Privacy Policy

1. What this policy covers

This policy explains what information LLMRanks collects, why we collect it, how we use it, and the choices you have. It applies to our website at llmranks.io, the dashboard, our APIs, and any communications we send you.

We aim to collect only what we need to deliver the service and to treat that information with reasonable care. If anything here is unclear, email legal@llmranks.io.

2. Information you give us

• Account information. Name, email, password (hashed by our identity provider), and any profile fields you provide when you create an account.
• Workspace and brand information. The domains, brand names, competitors, and prompts you configure for tracking.
• Billing details. Tier, billing interval, and payment status. Card numbers are handled directly by our payment processor (Stripe) and never touch our servers.
• Communications. Messages you send us via support, sales, or feedback channels.

3. Information we collect automatically

• Usage data. Pages and features used, audits run, timestamps, and approximate location derived from your IP address.
• Device and log data. Browser type, operating system, IP address, error logs, and request metadata needed to secure and operate the service.
• Cookies and similar technologies. First-party cookies for authentication and core functionality. Third-party cookies only as required by service providers we rely on (e.g. authentication, payment, error monitoring). We do not use third-party advertising cookies.

4. Information we generate about you

When you run an audit, LLMRanks queries publicly available AI search engines and search APIs about the brand and prompts you configured, then stores the results, citations, and derived metrics inside your workspace. This data is yours; we use it only to deliver the service to you and to improve our pipeline in aggregated, de-identified form.

5. How we use information

• To provide, maintain, and improve the service.
• To authenticate you and protect your account.
• To process payments and send billing receipts.
• To send transactional emails (audit-ready notifications, digests you have opted in to, security alerts).
• To respond to support requests and to enforce our Terms of Service.
• To detect, investigate, and prevent fraud, abuse, or harm to users or the service.
• To comply with legal obligations and to defend our legal rights.

6. How we share information

We do not sell or rent your personal information. We share information only as described below:

• Service providers. We use vetted third-party providers for authentication, hosting, payment processing, error monitoring, AI inference, and search-engine data retrieval. They receive only the information needed to perform their function and are contractually required to protect it.
• Legal and safety. We may disclose information if we have a good-faith belief it is necessary to comply with a legal obligation, enforce our terms, or protect the rights, safety, or property of LLMRanks, our users, or the public.
• Business transfers. If LLMRanks is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
• With your consent. Otherwise, we share only with your direction (e.g. when you publish or export an audit).

7. International data transfers

LLMRanks operates from the United States, and our service providers may process data in the United States, the European Union, or other jurisdictions. By using the service, you understand that your information may be transferred to and processed in countries with different data-protection laws than your country of residence. Where required, we rely on Standard Contractual Clauses or other appropriate transfer mechanisms.

8. Security

We use industry-standard safeguards including encrypted transport, encrypted storage, scoped access controls, and continuous logging. No service can guarantee perfect security; if you believe your account has been compromised, contact security@llmranks.io immediately.

9. Retention

We retain account and audit data for as long as your account is active, plus a reasonable grace period after cancellation so you can re-activate without losing your history. After that grace period, we delete or de-identify your data, except where we are required to retain it to comply with legal, accounting, or audit obligations.

10. Your rights

Depending on your jurisdiction, you may have the right to access, correct, export, or delete your personal information, to object to or restrict processing, and to lodge a complaint with a supervisory authority. To exercise any of these rights, email legal@llmranks.io. We will respond within the timeframe required by applicable law.

California residents have specific rights under the CCPA/CPRA, including the right to know what personal information we hold and to opt out of any sale or sharing of personal information. We do not sell or share personal information for cross-context behavioral advertising.

11. Children

The service is not directed to children under 16 and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

12. Changes to this policy

We may update this policy from time to time. If we make material changes we will notify you by email or via a notice in the dashboard before the changes take effect. The “Effective” date at the top of this page reflects the most recent revision.
